WorkZone makes project collaboration as easy as it can be, with an impressive set of features that can be used by anyone. The terminology is intelligible throughout the application. Hence, you don't need to be a PMP to use that product efficiently. Anyhow, WorkZone is visibly a project management system for anyone who has projects to manage rather than certified project management professionals only.
WorkZone is loaded with project collaboration oriented features. You create workspaces, which are actually project portfolios. Underneath workspaces, you create projects and underneath projects, you create tasks. It's that simple. The product also has a nice to-do list and a group calendar, which can display events as well as tasks (only if you want to). It also offers 4 different views. The document manager is great for sharing work with your colleagues. This feature empowers you to upload documents and give access to people you collaborate with. The drag and drop option is very useful (doesn't work with IE though). This is rarely seen in web applications. Email alerts can be sent to notify about document updates, comments added and approvals. Access rights are customizable for each user role. Collaboration-wise, WorkZone is terrific.
Creating projects with WorkZone is extremely quick, actually as quick as creating a to-do in most task management tools. The "Add a New Project" form is tiny and that's okay this way. You can quickly create a project, save it, and set the advanced parameters later. If you prefer, you can set "Project Details" right away by expanding the corresponding menu. Task creation is also a breeze. There are a few key fields missing here and there, but most users get what they need. Tasks can be synced with Outlook. Projects can be created from scratch or imported from MS Project or Excel. Importing projects is convenient if you want to migrate to WorkZone without worries.
The all-in-one view for reports is just amazing. There's no need to toggle from one window to another, all project reports are under "Project Tracker", be it the Gantt chart, the project list and the handy "Recent Activity". This report shows all changes that were made to each projects, during the last 7 days. Project managers and executives will appreciate this report. Late and upcoming items can be tracked easily, and the account usage as well (user activity).
For individuals and teams who need a handy, comprehensive, collaboration-oriented and intuitive project management software, WorkZone is a great pick. Besides its slick interface, WorkZone uses easy-to-understand terminology. They chose comprehensive terms to describe their features rather than industry standards known by experts only. This helps shorten the learning curve and actually makes training optional.
