The great thing about eDocsOnline is that you won’t need to read an entire user’s guide to figure out how it works. eDocsOnline is highly intuitive: right from the start, you know where to go and what to do. The interface uses user-friendly terms that make sense to all human beings.
Beyond the simplicity of use is a powerful engine that can do everything the complicated document management systems do: keep track of changes to a document, create and modify templates on the fly, organize efficiently and find any document in seconds!
On the administration side, system managers will find is very simple to create and modify templates: a convenient wizard helps you along the way. Templates are forms where any type of field can be placed anywhere and made required or optional. Then, one or several files can be added to that template. Later on, users will create documents based on that template, for example an expense report or an invoice. We were also quite pleased with how easy it was to adapt the system’s date format, naming convention and users to any organization’s specific needs.
Once users get ready to create documents, they can work from an existing template and modify it to suit their needs. We especially liked how eDocsOnline made it easy to create dependencies between documents, for example to create a product plan, then make the technical specifications for that product the reference for the product plan document. Later on, invoices related to this product can be added as children of the product plan!
User access is simple and folder-based. For each folder, read and/or write access can be configured for all users at a time or each user individually. Hence, clients can have access only to their own documents, and employees can see documents for the projects they are working on.
As documents change, eDocsOnline keeps track of the different versions, which is also a valuable back up in case you need to retrieve old data. Different views are available, so users don’t get information overload and managers can get to the detailed information they need.
To top it off, eDocsOnline comes with powerful search functions designed to find documents quickly. While the recently viewed search lets users access the latest documents, the full search form makes Boolean searching accessible to anyone.
In conclusion, eDocsOnline is a great tool for organizations that don’t want to spend hours setting up and understanding a complex system, while still needing powerful document management.
